The short version
- This site sets no cookies and runs no analytics or trackers.
- The contact form sends nothing on its own — it opens your email app, and you decide whether to send.
- If you email us, we use your details only to reply and arrange a walkthrough.
- We never sell your data or use it to train AI models.
- Ask to see or delete your data at any time: sales@kybscout.com.
01Who we are
KYB Scout is operated by [Registered company name], registered at [Registered office address] (company number [Company registration number]). In this policy, “KYB Scout”, “we” and “us” mean that company.
For the personal information described here, we decide why and how it is used, which makes us the data controller (or “data fiduciary” under Indian law). Questions about this policy go to sales@kybscout.com.
02What we collect and why
This site is deliberately quiet. It has no analytics, no advertising tags, no tracking pixels, and no third-party fonts or scripts — everything loads from our own domain. That leaves four kinds of information:
| Information | How we get it | Why we use it | Legal basis |
|---|---|---|---|
| Your enquiry: name, work email, vertical, message, and anything else you put in an email to us | Only if you send us an email. The contact form does not send anything itself — it opens your own email app with a pre-filled message. | To reply, arrange a walkthrough, and prepare a test pack if you ask for one. | Your consent (ticked on the form) and our legitimate interest in answering business enquiries; steps you ask for before a contract. |
| Technical request data: IP address, browser type, page requested, date and time, referring page | Collected automatically by our hosting provider whenever any website is loaded. | To deliver pages, keep the site secure and stop abuse. | Our legitimate interest in running a secure website. |
| A booked call: your name, email and anything you add when booking | Only if you book a time through our booking page, which runs on Google Calendar. | To hold the call and send you the invite. | Steps you ask for before a contract, and our legitimate interest in answering enquiries. |
| Your cookie-notice choice | Stored in your own browser. It never reaches us. | So the notice does not reappear on every page. | Strictly necessary; see the Cookie policy. |
03What we don’t do
- We don’t sell, rent or trade personal information.
- We don’t add you to a mailing list or newsletter because you got in touch.
- We don’t profile visitors, run ads, or make automated decisions about you.
- We don’t use anything you send us, or any client data, to train an AI model.
04Merchant data in pilots and client work
When a compliance team uses KYB Scout, the merchant information it processes belongs to that client. Each pilot runs as a dedicated deployment scoped to the client’s infrastructure and data policy, and the data does not leave the client’s control without explicit sign-off.
For that data we act on the client’s instructions (as a processor), under a separate written agreement and data processing terms. This policy does not cover it; the client agreement does.
If you send us a merchant URL for a test on a past case, send only what is needed to identify the merchant. We use it only to prepare that test pack — see Test cases in our Terms.
06International transfers
Our providers may process information outside the country you are in, including in the United States. Where the law requires it, we rely on recognised safeguards such as standard contractual clauses for those transfers.
07How long we keep it
- Enquiry emails: up to [24 months] after our last exchange, unless you become a client — then for as long as the client agreement requires.
- Test-case material: deleted once the test pack is delivered and discussed, as set out in our Terms.
- Technical request data: kept by our hosting provider under its own retention rules. The request logs available to us expire after about an hour on our current plan.
- Your cookie-notice choice: until you clear your browser’s site data.
08Security
The site is served only over HTTPS and loads no third-party code. Access to enquiry emails is limited to the people who need it. No method of transmission or storage is perfectly secure, but we work to protect what you share with us and will tell you without undue delay if a breach affects you.
09Your rights
Depending on where you are, you may have rights under the EU or UK GDPR, India’s Digital Personal Data Protection Act 2023, or similar laws. These usually include the right to:
- see the personal information we hold about you and get a copy of it;
- have it corrected or completed;
- have it deleted;
- object to, or ask us to restrict, how we use it;
- withdraw consent at any time, without affecting what we did before;
- nominate someone to exercise your rights if you are unable to.
To use any of these, email sales@kybscout.com. We will reply within one month, and won’t charge you. If you are unhappy with our answer, you can complain to your local data protection authority — for example the ICO in the UK, your national authority in the EU, or the Data Protection Board of India.
10Children
This site and KYB Scout are for businesses. They are not directed at anyone under 18, and we do not knowingly collect information from children.
11Changes to this policy
If we change how we handle personal information, we will update this page and the “last updated” date above. If we ever add analytics or anything else optional, we will ask for consent first and say so here and in the Cookie policy.
